Managing Knowledge Agent channel settings in Microsoft Teams
Choose when a Knowledge Agent speaks up in each Microsoft Teams channel. Channel Settings let you control whether Guru responds to every message or only when @mentioned, whether it joins threads on its own, and whether it replies to people, bots, or both.
Access RequiredGuru Access: You need permission to manage the Knowledge Agent's settings, the same as for assigning Slack channels.
Microsoft Access: The Guru app must be installed in the Microsoft Team. Learn how to set up Guru's app for Microsoft Teams.
Assign a Knowledge Agent to a channel
- In Guru, open the Knowledge Agent you want to assign.
- Go to the Microsoft Teams tab.
- Select a Team and a Channel where the Guru app is installed.
- Click Add channel.
The channel now answers using this agent.
NoteIf a Team or Channel doesn't appear in the dropdown, make sure the Guru app is installed in that Team.
Open Channel Settings
Each channel you've assigned shows a gear icon and a badge.
- Default. The channel uses the standard settings.
- Customized. Someone has changed at least one setting for this channel.
To change a channel's settings, click the gear icon next to the channel to open Channel Settings.
Understanding Channel Settings
Auto-respond in channel
Choose whether Guru responds to all messages in the channel or only when someone @mentions it.
Auto-respond in thread
Choose whether Guru responds to all messages in a thread or only when someone @mentions it in the thread. When you choose all messages, Guru only replies automatically in threads it has already answered in, so it doesn't jump into unrelated conversations.
Respond to messages from
Choose who Guru responds to: humans and bots, humans only, or bots only. Guru never responds to its own messages, whatever you choose.
Best practices
- Start with @mentions. Set Auto-respond in channel to only respond when @mentioned while your team gets comfortable, then open it up to all messages when you're ready.
- Match settings to the channel. A busy support channel might respond to all messages, while a general channel works better with @mention only.
- Watch credit usage. A channel set to respond to all messages generates an answer for every qualifying message, so it uses more credits than an @mention-only channel. Learn more about credit usage.
Limiting responses to sources shared with All Members
Each Knowledge Agent's Microsoft Teams tab includes a Limit responses to sources shared with All Members toggle. It's on by default.
When it's on, answers in your channels only use sources that have been explicitly shared with the All Members group. This keeps a channel answer from surfacing content that not everyone in your workspace can see.
NoteAnswers in Teams always respect the asking person's Guru permissions. The All Members toggle adds an extra limit for answers posted in shared channels.
Frequently asked questions about channel settings
Can Guru respond to every message in a channel?
Yes. Set Auto-respond in channel to respond to all messages. For a quieter start, choose Only when @mentioned.
Will Guru reply to its own messages?
No. Guru never responds to its own messages, whatever the Respond to messages from setting is.
What happens in a channel with no assigned Knowledge Agent?
Guru uses your workspace's default Knowledge Agent. If your workspace has no default agent, Guru in Teams searches for Cards instead.
Can I use a different Knowledge Agent in each channel?
Yes. Assign the agent you want from the Microsoft Teams tab of each Knowledge Agent.
