Inspecting and tuning a Source with Advanced Options
Advanced Options lets you look inside a connected Source to see how Guru stored and indexed its data, then adjust the settings that control that indexing. Use it when a record isn't showing up in search, a record has the wrong title, or a link doesn't open the right page.
Access RequiredYou need the workspace Admin role and the permission. You need both. Everyone else won't see Advanced Options.
NoteAdvanced Options shows how Guru stores your data, so it uses technical terms like object types, fields, and facets. It's built for admins who are comfortable with how their connected tools organize records.
Opening Advanced Options
- Go to Manage > Sources.
- Open the options menu for the Source you want to inspect.
- Select Advanced Options (the gear icon).
The window has two panes. The left pane lists the object types the Source syncs. The right pane shows tabs for whichever object type you select.
TipStart by looking, not editing. Pick an object type, read the Sync Details tab, then open the Data tab and click into a record. Comparing what Guru indexed with what you expected usually explains a search result that seemed wrong.
Understanding the terms
- Object types. A kind of record a Source syncs, like a Salesforce "Case" or a Confluence "Page."
- Fields. The attributes of an object type.
- Facets. The dimensions you can filter an object type by.
- Tags. How values from your Source map to Guru tags.
- Templates. The settings that turn a record into something searchable, including its title, its link, and its search content.
- Relationships. Links between object types.
- Records. The individual items Guru synced from your Source. Guru also calls these objects.
Choosing which tabs appear
Guru only shows the tabs that apply to the object type you select. For example, an object type that only holds tags has no Data tab, and only structured object types have Templates. If you switch to an object type that doesn't have the tab you're on, Guru takes you back to Sync Details.
| Tab | What it shows | Can you edit it? |
|---|---|---|
| Sync Details | Sync health for the object type | No |
| Templates | How records get their title, link, and search content | Yes |
| Fields | The fields on the object type | Yes |
| Facets | The facets on the object type | Yes |
| Tags | How Source values map to Guru tags | No |
| Relationships | Links between this object type and others | No |
| Data | The records Guru synced | No |
Checking sync health Details appears for every object type. It shows:
- Object type ID. The identifier for the object type.
- Last sync. When Guru last tried to sync and when the last sync finished.
- Sync status. The current state of the sync.
- Object count. How many records Guru synced.
- % indexed. How much of the synced content is searchable.
- Sync number. The current sync.
Browsing synced records
- Select an object type, then open the Data tab.
- Sort or filter the table by date. Each row shows the record's external ID, created date, and modified date.
- Click a record to see its structured fields, raw content, raw data, and metadata.
Editing templates, fields, and facets ree tabs are the only places you can make changes in Advanced Options.
- Templates. Edit the Title, External URL, and Search templates. Templates use Freemarker, and multi-line templates are supported.
- Fields. Add, edit, and delete fields.
- Facets. Add and delete facets. Guru checks for duplicate names when you add one.
ImportantSaving a change to a template, field, or facet re-indexes the whole Source. On a large Source, that can take several hours. A mistake in a title or search template can make your results worse, and undoing it means editing the setting back and waiting for another re-index. Plan the change before you save it.
To make a change:
- Open the Templates, Fields, or Facets tab for the object type.
- Make your edit and save it.
- Read the confirmation message. It explains that saving starts a re-index and that the re-index can take several hours.
- Confirm to continue, or cancel to leave everything as it was. Canceling doesn't change anything or start a re-index.
If you open an editor and save without changing anything, no warning appears and no re-index runs. If you try to leave with unsaved changes, Guru stops you first.
TipTo follow a re-index, return to Sync Details. The sync status and % indexed update as the re-index works through your Source.
Understanding what you can't change
Outside templates, fields, and facets is read-only. You can't create or delete object types, edit tags, relationships, or individual records, or make bulk changes across object types or Sources.
Frequently asked questions about Advanced Options
Why don't I see Advanced Options?
You need both the workspace Admin role and the permission listed under Access Required. Having the permission without the Admin role isn't enough.
Why do some object types show more tabs than others?
Guru only shows the tabs an object type supports. A shorter list of tabs is expected.
Can I undo a change?
Edit the setting back and save it. Guru re-indexes the Source again, which can take several hours.
Can I see the history of my re-indexes?
No. Use Sync Details to check the current sync status and % indexed.
Does using Advanced Options use credits?
No. Inspecting a Source and saving templates, fields, and facets are manual admin work, so they don't use credits. If the Source has DLP masking configured, a re-index can generate charges. See About Guru Credits.
Can I create object types or edit individual records?
No. See Understanding what you can't change.
