Sending and Receiving Announcements

Announcements allow Authors and Collection owners to notify team members about new, updated, or existing knowledge. You can also require recipients to acknowledge that they've read the content.

Sending announcements

Understanding who can receive Announcements

You can send announcements to:

  • Groups with access to the Card’s Collection.
  • Individual users who belong to those Groups.
  • All Members Group, if they have Collection access.
  • Any Group in your workspace with appropriate permissions.
  • Restricted Cards, only to users with access to that specific Card.

Sending from a Card

  1. Open the Card in the web app or extension.
  2. Click Share, then select Send an Announcement.
  3. Select Groups or users and add an optional note.
  4. Click Send.

Sending from Tasks

  1. Go to Tasks > Announcements.
  2. Click Send an Announcement (top right).

Scheduling an announcement

  1. Click the caret next to Send.
  2. Select a scheduled time or choose Custom time.
  3. A reminder about the scheduled send appears in the Card’s Comments.

Viewing announcement analytics

  • See who received it, last opened it, and certified reading.
  • Authors, Collection owners, and admins can view detailed analytics and Group Impact dashboards.

Sending reminders

  • Guru sends an automatic follow-up after 3 days.
  • You can also send reminders manually from the Card or Announcements - Sent page.

Deleting an announcement

  • From the Card or Announcements - Sent, click Delete Announcement.

Controlling the featured image

  • The first image in the Card becomes the featured image.
  • Use an image at least 140 x 210px to display it properly.

Where announcements appear

Web app dashboard

  • Shows up to 3 unread announcements, marked Unread.

Extension view

  • A banner shows unread announcements.
  • Click the Alerts icon to open.

Card view

  • A banner displays the sender, date, assigned Groups, and message.
  • A history of past announcements appears in the Card.

Notifications

  • Notifications follow user preferences.
  • They include the sender and estimated read time.

Certifying you’ve read the Card

  • Click 👍 I read it to confirm.
  • The sender can see your read status.

Responding to announcements

  • Use React to add emojis.
  • Leave comments on the Card.

Viewing and exporting analytics

  • Click x% read it to see who’s confirmed and export the data.

Reviewing all announcements

  1. Go to Tasks > Announcements.
  2. Click a Card Title to view it.
  3. Click I Read It to confirm.
    • If you get multiple announcements for the same Card, one confirmation is enough.

Note

If you didn’t have access to the Card when the announcement was sent, you won’t get the notification. If you’re an author in the Collection, you can still see historical announcements.


Frequently asked questions about announcements

Why don’t I see a Group in the dropdown?
Only Groups with access to the Collection appear. Make sure the Group has Collection permission, or grant access to the All Members Group.

Why can’t I find a specific user?
Only users in Groups with access to the Card’s Collection are shown. Add the user to an allowed Group, or ensure their Group has access.

Can I send more than one announcement from the same Card?
Yes. Each is logged under Tasks > Announcements > Sent. Recipients only need to confirm once.

Do new team members receive previous announcements?
No. Announcements only go to users who had access at the time they were sent. New members won’t be retroactively added. Authors can still view past announcements in the Sent tab.

How are users notified?

  • Web app: Unread announcements appear on the dashboard.
  • Email: Users who’ve enabled email notifications will get alerts.
  • Slack or Microsoft Teams: Users receive direct messages for assigned announcements.

How can I change the featured image?
Edit the Card and move, replace, or add a new first image larger than 140 x 210px. This updates the dashboard display.

Why didn’t I get a notification after sending?
Senders don’t receive announcements themselves, even if they’re in the target Group. Your read status is still tracked. You can confirm delivery by checking if others marked the Card as read.
