Using the Card Manager

Managing lots of content can mean lots of repetitive tasks. Card Manager helps Collection Owners and Authors complete tasks in bulk, making it easier to maintain accurate, up-to-date knowledge. Using filters and bulk actions keeps your team aligned without missing a beat.

Access Required

  • Card Manager is available to Authors or Collection Owner Group members on All-in-one or Enterprise Guru plans.
  • You can only perform bulk actions on Cards in Collections where you have Author or Collection Owner access.
  • If you lack the proper permissions, an "unable to perform action" message will appear.
  • Visit the Collections page to check your access, or contact a workspace admin.

Filtering your list of visible Cards

Before taking bulk actions, filter to find the right Cards to modify:

  1. In Guru’s web app, go to Card Manager in the left-hand navigation.
  2. Use the Filter by Attribute panel on the right. Choose attributes to filter by and enter values.

  • Guru filters Cards in real-time based on selected attributes.
  • Click Displayed Columns to choose which attributes appear as column headers across the top of the Card list.

Tip

Save a Card Manager filter by clicking the blue Save Filter button. Saved filters are visible to all Collection owners and authors. Access them via the Saved Filters icon above the filter list.


Performing bulk actions on Cards

  1. In Guru’s web app, go to Card Manager.
  2. Filter to find the Cards you want to update.
  3. Select Cards by clicking the checkbox next to each Card title.
  4. To select all visible Cards, click the checkbox next to Card Title.
  5. Choose the bulk action you'd like to perform from the toolbar.

VerifyOnly Cards where you are the Verifier will be verified. Others will trigger an error.
UnverifyVerifiers will get a notification, even if the Cards are already unverified.
Change VerifierVerifier can only be changed for Cards in a single Collection. Filter by Collection before using this action.
Change Verification IntervalMust have author access. Verifier Group members will auto-verify Cards; others will unverify them.
Move to CollectionRequires author access in both source and target Collections.
Add to / Remove from Folder(s)Add or remove Cards from selected folders.

Frequently asked questions

How do I find Cards with public file sharing enabled?

  1. Go to Card Manager in Guru’s web app.
  2. In Filter by Attribute, check Sharing.
  3. Select File access is set to "public".

These Cards allow external file sharing. To check if they are also publicly visible, use the Public Card attribute and filter by is Public or is not Public.


How do I disable public file sharing in bulk?

  1. Go to Card Manager.
  2. Filter Cards by selecting Sharing > File access is set to "public".
  3. Select the Cards you want to edit.
  4. Click the 🔒 Sharing and Privacy icon.
  5. Select Your Guru Workspace.
  6. Click Save changes.
