Moving Content between Collections
Important
Before moving content, review Collection permissions and Group membership to ensure continued access.
Moving a folder to a different Collection
Access Required
You must be an Author or Collection Owner to move a folder or Card within a Collection.
When you move a folder, all its Cards are moved to the selected Collection. Folder structure remains intact. Teammates without access to the destination Collection will lose access unless folder permissions are applied.
- In the Guru web app, navigate to the Collection containing the folder you want to move.
- Click the folder title.
- You must have author or Collection owner access to both the source and destination Collections.
- Click the ellipsis (⋯) next to the folder title and select Move to....
- In the modal, type or select the destination Collection.
- Only Collections where you have author or Collection owner access will appear.
- Click Move folder.
Moving a Card to a different Collection
Cards can be moved individually or in bulk using the Card Manager. Cards can only exist in one Collection at a time but can belong to multiple folders within the same Collection.
Access Required
You must be an Author or Collection Owner to access Card Manager.
Authors can only take actions on Cards in Collections where they have author access. If you lack permission, you’ll see an "unable to perform action" message.
Check your access here, or ask your admin for help.
- Go to Card Manager.
- Use filters to find the Cards you want to move.
- Learn more about Card Manager filters.
- Select Cards by clicking the checkbox next to each title.
- To select all, check the box next to Card Title.
- Click the Move to Collection icon.
- Select the destination Collection and click Save Changes.
Note
If the Card’s verifier does not have access to the new Collection, the admin who moved the Card becomes the default verifier.
Frequently Asked Questions about moving Cards and folders
Can Cards and folders live in multiple Collections?
No, a Card or folder can only exist in one Collection at a time. Here are some workarounds:
-
Bundle Cards in a dedicated Collection
Create a shared Collection containing commonly used Cards. Users with access to that Collection will see relevant Cards in search. -
Convert a folder into its own Collection
If an entire folder needs to be reused elsewhere, consider making it a Collection to centralize access. -
Use folder permissions
Apply folder-level permissions to share a specific folder with users who don’t have access to the full Collection. -
Share Collections across workspaces
Use read-only shared Collections to grant visibility to teams across multiple Guru workspaces while maintaining independent content control.
