Setting up Employee Profiles

Employee profiles in Guru connect people to the knowledge they create and consume. Profiles offer insight into who owns and verifies content, and provide context for collaboration across teams. Every Guru user has a profile that includes contact info, published Cards, followed authors, and organizational role.

Tip:

Admins can also choose to sync profiles with an HRIS or manage them manually for centralized control.

Accessing a teammate's profile

You can access a teammate’s profile in several ways:

  • Search for their name in the Guru web app or extension.
  • Click their name from a Card they created, edited, verified, or commented on.
  • Go to the All Members list and select their name.

To view authors you're following:

  1. Navigate to My Library > Following: Authors.
  2. Click a teammate’s profile tile to open their profile page.

Tip

You can also access a profile directly using a shared URL.

To view someone in your org chart, click Show in Org Chart from their profile page.


Accessing and editing your profile

  1. Click your avatar in the top-right corner of the web app or extension.
  2. Select My Profile.

Edit your profile

  • Click ✏️ Edit, or click any field directly.
  • Make changes, then click Publish changes or Cancel.

Important

If your workspace uses HRIS sync, some profile fields may not be editable. You’ll see the message: “Some fields are pulled from an external source.” Learn more here.


Editable fields in your profile

  • Name and Pronouns
    Editable unless restricted by SSO or HRIS sync. Contact your admin to request changes.

  • Profile Picture
    Click Choose photo to upload an image (.png, .gif, .jpeg, .svg). Click Remove photo to delete.

  • Slack Profile Link
    Added automatically if your Slack workspace is connected to Guru. Visible only to users in the same Slack workspace.

  • Overview Fields
    Include:

    • Job title
    • Team name
    • Work location
    • Start date
    • Working hours
    • Manager (searchable from workspace directory)
  • About Me / What I’m Working On / Best Way to Work With Me
    Optional fields to help your team understand your work style and current priorities.

  • Pinned Cards
    Highlight knowledge others should be aware of when working with you.


Editing another user's profile (Admins only)

Admins can edit any user's profile:

  1. Navigate to the user’s profile page.
  2. Click ✏️ Edit.
  3. Update any editable field.
  4. Click Publish changes.

Frequently Asked Questions

Who do I contact if I see something wrong with my profile?

Try editing the field directly. If it’s not editable, contact your workspace admin to request an update.

Are employee profiles required?

Yes. All Guru users have a profile. If your profile is incomplete or your workspace uses HRIS sync, only published Cards will display.
Admins can request to hide email addresses by contacting Guru Support.

What do profiles look like for users outside my company?

External Guru users (not part of your HRIS sync) can fill out their profiles manually. Users cannot tell who is HRIS-synced and who is not.

Can I format my profile using Markdown?

Yes. You can use Markdown to format profile fields. HTML is not supported.

Can I customize the background color or upload a banner?

No. The profile background color is tied to your workspace theme accent color.
If you have ideas for profile design, submit them as Product Feedback.

What happens to a profile when a user is removed or deactivated?

The profile becomes a Deactivated User profile, with a grey banner. Most recent profile info will remain visible.

What's the difference between My Profile and My Settings?

  • My Profile: Your personal info and workspace details.
  • My Settings: Change password, role type, or disable keyboard shortcuts. These are general Guru account settings.
