Viewing Knowledge Usage Analytics
The Knowledge Usage analytics dashboard helps you proactively create or update content based on search behavior and content demand. Use this data to assess gaps, optimize permissions, and understand which Cards are providing the most value to your team.
Accessing the Knowledge Usage analytics dashboard
- Navigate to Analytics in the Guru web app.
- Click the Knowledge Usage tab.
Tip
Use filters such as Date, Collection Name, Group Name, Source Application, or Card Title for more targeted insights into specific Cards, Collections, or Groups.
Understanding Knowledge Usage reports
Most viewed Cards
- Table showing the most viewed Cards, including:
- Card title
- Number of views
- Number of unique users
- Sort by column headers.
- Displays the first 1,000 rows.
Download the report as a CSV to view all Cards.
Most favorited Cards
- Horizontal bar chart showing the most favorited Cards by title.
- Displays the first 6 Cards.
Download the report as a CSV to view all. - For monthly favoriting trends, view individual Card usage analytics.
Most followed Cards
- Horizontal bar chart of Cards with the most followers during the timeframe.
- Displays the first 6 Cards.

Card views over time
- Line chart showing monthly view trends for all Cards during the selected timeframe.
Successful searches
- Table of search terms that returned matching results.
- Helps identify topics users are actively seeking.
- Use these keywords to improve training or expand content coverage.
- Displays the first 1,000 rows.

Missing knowledge
- Table of search terms that did not return results.
- Indicates gaps in coverage, lack of visibility, or inconsistent terminology.
- Use this report to inform new or updated Card creation.
- Displays the first 1,000 rows.

Searches producing no results by user
- Table of:
- Search terms with no results
- User who searched
- Date of search
- Displays the first 1,000 rows.

Assessing search performance
If a known Card isn’t appearing in search results:
- The search may have occurred before the content was created.
- Filters may have excluded the correct content (e.g., Collection, folder, or title filters).
- Folder-level searches and mobile/extension usage are tracked but cannot be filtered by source.
Tip
Use Missing knowledge terms to improve search results. Once you've created a new Card, use the Searches producing no results by user report to identify and follow up with users who searched for that term.
Downloading and scheduling report delivery
- Download individual reports as CSV files.
- Schedule the full dashboard for recurring email delivery.
Frequently Asked Questions about Knowledge Usage analytics
What counts as a search?
Any search submitted by pressing Enter or Return will appear in either the Successful searches or Missing knowledge reports.
Why is a search term appearing in both reports?
Search results depend on user permissions and filters:
- A user may not have had access to a matching Card.
- Filters (Collection, folder, etc.) may have excluded the results.
- A term may return results in some views but not others (e.g., folder search vs. global search).
Why do my results differ from a teammate’s?
Analytics reflect only Collections where the viewer has at least Author access. Permission changes and Card movement over time may also affect visibility.
How can I filter by Card title keywords?
- Use the Card Title filter to enter a keyword.
- Press Enter or Return.
- Use the Select All checkbox to select matching Cards.
- Click Apply to update the dashboard view.
